Go to thefrontdeskai.in and click "Get Started Free". Enter your email address and click "Send Login Link". You'll receive a magic link in your inbox — click it and you're logged in instantly. No password required.

On first login you'll be taken directly to the Property Knowledge Setup wizard where you configure your AI receptionist.

Have the following ready before you begin setup:

  • Property name and exact location with landmark directions
  • Wi-Fi network name (SSID) and password
  • Check-in and check-out times
  • Digital lock code or key box code
  • House rules (pool hours, smoking policy, quiet hours, pet policy)
  • Caretaker's name and mobile number (for emergency escalation)
  • Any property-specific info guests commonly ask about (e.g. geyser instructions, parking, nearest pharmacy)

The more detail you provide, the fewer escalations you'll get at 2 AM.

After subscribing, you'll be directed to the OTA Integration step in your dashboard. Click "Connect Airbnb" or "Connect Booking.com" — you'll be taken through a secure OAuth login flow on the OTA's own website.

Once connected, our channel partner (Channex.io) automatically monitors your property for new bookings and syncs guest data to the AI in real time. No manual work needed after this step.

The moment your OTA integration is confirmed, the AI receptionist is live — typically within 5 minutes of completing setup. Your dashboard will show your active virtual number and a status of "AI Receptionist: Live".

Any changes you make to the AI Brain Setup take effect within 30 seconds — no restarting required.

Yes. Each plan includes a set number of properties: Starter (1), Professional (up to 3), Portfolio (up to 5). You can add extra properties on any plan for ₹799/month per property from your dashboard.

All properties on your account share the same AI minute pool — minutes are not allocated per property.

All plans are billed monthly in INR with no annual lock-in:

  • Starter — ₹1,999/month: 1 property · 100 AI minutes (shared pool)
  • Professional — ₹4,499/month: Up to 3 properties · 500 AI minutes (shared pool)
  • Portfolio — ₹6,999/month: Up to 5 properties · 700 AI minutes (shared pool)

All plans include the shared +91 virtual number, WhatsApp handling, bilingual transcripts, and emergency escalation. Extra properties: ₹799/month. Dedicated number: ₹1,200/month.

AI minutes measure the total time the AI spends on live guest calls across all your properties. Minutes are shared account-wide — all properties draw from the same pool, not from individual allocations per property.

Plan minutes reset on your monthly renewal date. Unused plan minutes do not roll over. Booster pack minutes never expire and roll over month to month.

Your AI receptionist pauses automatically once your minute balance reaches zero, and guest calls ring through to you directly until you top up. We send a WhatsApp alert when your balance drop below 15 minutes with a one-tap payment link as soon as your balance runs low — top up in seconds, no dashboard login needed, and your receptionist reactivates instantly. Your property setup, call history, and AI Brain configuration are always saved.

Booster minutes are added to your account immediately on purchase, never expire, and roll over month to month.

You can cancel anytime from your dashboard under Billing Settings. Your service continues until the end of the current billing month — no cancellation fee, no lock-in.

Monthly subscription fees are non-refundable once the billing period has begun. Booster pack minutes are non-refundable once purchased.

Off-season tip: Instead of cancelling, consider pausing a property for just ₹499/month — your virtual number stays reserved and your AI knowledge base is fully preserved.

Go to your dashboard → Billing → Invoice History. Click the download icon next to any invoice. All invoices are GST-compliant and generated automatically by Razorpay on the date of each transaction.

If you need your GSTIN added to an invoice, update it in your Account Settings before your next billing cycle.

📞 Calls & WhatsApp

TheFrontDeskAI operates 1–2 shared +91 virtual numbers that are used across all clients on the platform. When a guest calls, our system looks up their phone number in the bookings database and routes the call to the correct property AI instantly.

Guests receive the virtual number in their automated WhatsApp welcome message at the time of booking. They don't know it's shared — to them it's your property's direct line.

Yes. You can add a dedicated +91 virtual number for ₹1,200/month from your dashboard under Billing → Add-Ons. The number is exclusively linked to your account.

Activation requires Exotel KYC (your Company PAN, GSTIN, and a signed Letter of Intent). This typically takes 24–48 hours to process.

If the AI can't match the caller's number to an active booking (e.g. guest is calling from a friend's phone or international SIM), it activates the PIN fallback:

The AI says: "I don't recognise this number. Please enter your 6-digit Property PIN to connect to your property's virtual receptionist."

Every property has a unique 4-digit PIN. Place a small welcome card in your room with the PIN printed on it. Once the guest enters it, the call continues normally.

Yes — natively. We use Sarvam AI's voice models (Saaras V3 for speech-to-text, Bulbul V3 for text-to-speech), which are specifically trained on Indian languages, regional accents, and mid-sentence Hinglish code-switching.

Unlike Western AI tools that expect clean English, Sarvam is trained on actual compressed 8kHz Indian telecom audio — the same quality your guests' calls come through on.

If a guest uses any word from your configured escalation keyword list (e.g. "flood", "fire", "robbery", "injury", "unconscious"), the AI immediately send a WhatsApp message to your caretaker's number — no questions asked.

You configure both the keywords and the caretaker number in AI Brain Setup. Make sure this number is always reachable 24/7. TheFrontDeskAI is not a substitute for emergency services — always advise guests to call 100 (Police), 108 (Ambulance), or 101 (Fire) in a genuine emergency.

Go to your dashboard → Call Logs. Click any row to expand the full bilingual transcript (Hindi/Hinglish with English translation below each turn). You can also send the transcript to your WhatsApp from the same row.

An AI-generated summary is automatically sent to your registered WhatsApp number after every completed call.

🔧 Troubleshooting

Check these in order:

  • Minute balance: Go to dashboard → Billing. If balance is 0, top up immediately.
  • AI toggle: Go to dashboard → Overview. Confirm the "AI Receptionist" toggle is ON (green).
  • Subscription active: Go to Billing → confirm your subscription is active and not paused/expired.
  • OTA connection: Go to Settings → OTA Integration. Confirm Airbnb/Booking.com is still connected.

If all of the above look correct and calls are still not being answered, contact support immediately via WhatsApp — include your account email and the guest's caller ID if available.

The AI can only answer based on the information in your AI Brain Setup. If a guest received wrong information, it almost always means the knowledge base has outdated or missing content.

Go to dashboard → AI Brain Setup → update the relevant field (Wi-Fi, directions, lock code, etc.) → click "Save & Update AI Brain". Changes go live in under 30 seconds.

Also check your Call Logs to read the exact transcript of what the AI said — this will help you pinpoint which field to update.

This is usually caused by one of three things:

  • OTA integration disconnected: If Channex hasn't received the booking data, the welcome trigger won't fire. Reconnect your Airbnb/Booking.com from Settings → OTA Integration.
  • Guest phone number not synced: Airbnb sometimes masks guest phone numbers until 24–48 hours before check-in. The welcome message will send once the number becomes available.
  • WhatsApp template rejection: Meta occasionally flags templates. Contact support and we'll check the template status.

Unfortunately, the AI Brain fields do not have an undo function at this time. If you have accidentally cleared your property information, you will need to re-enter it manually.

We recommend keeping a copy of your property details in a notes app or Google Doc as a backup. This also makes updating seasonal details (peak-season directions, temporary Wi-Fi password changes) much faster.

Go to your dashboard → Settings → OTA Integration. You'll see the connection status for each OTA. If it shows "Disconnected" or "Error", click "Reconnect" and go through the OAuth flow again on Airbnb or Booking.com's website.

This can happen if you changed your OTA password, revoked third-party app permissions, or if the OAuth token expired. The reconnection takes less than 2 minutes.

Go to AI Brain Setup → Language Settings and switch between the two available voice profiles:

  • Priya — warm, hospitable, slightly slower pace. Ideal for leisure properties.
  • Aarav — sharp, professional, clear enunciation. Ideal for corporate or boutique stays.

Both voices are powered by Sarvam Bulbul V3 and sound natural on Indian telecom networks. If you'd like to request additional voice options, please contact support.
